We thank you for choosing Being Minds Counselling Services. Our work is guided by a deep respect for the therapeutic process and your decision to begin or continue this journey. To ensure that our services are delivered effectively, ethically, and with care for both clients and clinicians, we kindly request that you review the following policies thoroughly. These policies are implemented uniformly and are intended to maintain clarity, professionalism, and mutual respect.
1. Appointment & Cancellation Policy for online counselling sessions
To ensure the smooth operation of services and uphold our commitment to each client, the following appointment-related policies are in place and will be applied without exception:
- Booking an Appointment: Appointments can be scheduled via our website, phone, or email. We recommend booking in advance to secure your preferred date and time.
- Advance Payment: All online sessions must be paid for in full before the scheduled appointment.
- Cancellations for online sessions:
- Cancellations made 48 hours or more in advance are eligible for a full refund.
- Cancellations made within 24 to 48 hours of the session may be rescheduled but are not refundable.
- Cancellations made less than 24 hours prior are non-refundable and may be rescheduled as per the availability of the slots.
- Missed Appointments: If a client does not attend the scheduled session and fails to provide notice, no refund will be issued.
- Punctuality: A client requires adherence to the schedule.
- Rescheduled Appointments: Whether rescheduled by the therapist or client, the same cancellation and rescheduling policies will apply to the new appointment.
- Therapist Emergency: In the rare event of a personal emergency, the therapist reserves the right to reschedule the session.
By proceeding with an appointment, you acknowledge and accept these terms.
2. Confidentiality and Privacy Policy
Being Minds is committed to protecting your privacy under the Information Technology Act, 2000, and the Mental Healthcare Act, 2017. We maintain the highest standards of confidentiality and trust. All therapeutic conversations and client records are kept strictly confidential as per professional ethical standards and legal requirements.
Data Collection: Information is collected only with your consent and used solely for therapy and operational purposes.
Data Usage: data is used strictly to provide mental health services, manage bookings, maintain accurate client records and fulfil legal or regulatory obligations
Data Sharing: Never shared without consent. It may be shared within our internal team for administrative purposes with appropriate safeguards, or if there is a serious threat to your life or someone else’s, and if required by governing authorities.
In Special Cases:
- Minors or Incapacitated Adults: Information may be shared with legal guardians as per applicable ethical guidelines.
- Couples/Family Therapy: Confidentiality boundaries will be clearly defined and agreed upon.
- Group/family Sessions: Confidentiality guidelines specific to group settings will be shared and must be followed.
Data Protection and confidentiality: All client records are stored securely. Information shared in therapy sessions is confidential. Digital records are stored on secure, encrypted systems. Therapists follow ethical standards set by Indian mental health boards and associations.
